HomeHub Office Terms of Service

The terms that apply to a HomeHub Office software subscription

These are the terms for HomeHub Office, the job management software we provide as a monthly subscription. They apply from the moment you sign up at signup.hhssuk.com and for as long as you have an account. They are separate from our Terms of Business, which cover installation work, and they are written in plain English on purpose: if anything here is unclear, ask us before you sign up rather than after.

1. Who We Are

HomeHub Office is provided by Home Hub Smart Solutions Limited, trading as HomeHub Smart Solutions, a company registered in England and Wales under company number 15412644. Our registered office is 88 Cook Way, Broadbridge Heath, Horsham, West Sussex, RH12 3US. We are registered with the Information Commissioner's Office under reference ZC233660.

You can reach us on 01403 626006 or at [email protected]. We are a working trade business in Horsham, and HomeHub Office is the same system we run our own installation business on every day.

We are not currently VAT registered, so no VAT is added to our prices. If that changes, VAT will be added at the prevailing rate from your next billing date after we have told you, and you may cancel before then if you prefer.

2. Definitions

  • The Service or HomeHub Office means the online business management software we provide, including your own instance of it, the customer-facing pages it produces (such as online quote acceptance and booking links), and our support.
  • Your instance means the separate copy of the software we run for you at your own web address (for example yourcompany.hhssuk.com), with its own database that no other customer shares.
  • Customer Data means everything you and your users put into your instance or that it collects on your behalf: your customers, sites, contacts, leads, quotes, jobs, invoices, notes, documents, photos and messages.
  • Users means the people you give a login to. Plan means the subscription tier you are on (Starter, Growth, Pro or Enterprise). Business Day means Monday to Friday, excluding bank holidays in England.

3. Business Customers Only

HomeHub Office is a tool for running a business, and we only provide it to businesses: sole traders, partnerships, companies and other organisations. By signing up you confirm that you are acting in the course of a business and that you have authority to agree these terms on its behalf. The consumer cancellation rights in the Consumer Contracts Regulations 2013 therefore do not apply. If you are not a business, please do not sign up; call us instead and we will point you to something suitable.

4. Signing Up, Your Account and Your Users

You sign up online by choosing a plan, giving us your trading name and an email address, and paying by card. Where you pick your company from the Companies House lookup on the form, we also record your company number and registered office address. We then build your instance automatically, usually within a few minutes, and give you a link to set the password for your first administrator login.

You are responsible for everyone who uses your instance: for choosing who gets a login, for the accuracy of what they enter, for keeping passwords and passkeys private, and for telling us promptly if you think an account has been used without permission. Each plan includes a number of users. If you reach the limit you will be asked to upgrade or add a seat rather than locked out. One instance is for one business; if you run more than one trading entity, talk to us.

We may refuse or close a signup that we reasonably believe is fraudulent, is not a business, or would be used in breach of section 11.

5. Plans, Prices and What Is Included

Prices are per business, not per user, in pounds sterling, billed monthly:

  • Starter: £29 a month. Up to 3 users and 10GB of document storage. Customers, quotes, jobs, invoices, online quote acceptance, the customer portal and PDF documents.
  • Growth: £59 a month. Up to 8 users and 50GB. Everything in Starter plus AI-assisted admin, scheduling and service plans, recurring billing, equipment records, surveys, compliance certificates, bank feed reconciliation and passkey login.
  • Pro: £99 a month. Up to 20 users and 200GB. Everything in Growth plus API access, desk phone integration, multi-site and community scheme tools, and priority support.
  • Enterprise: by written agreement, for more than 20 users, dedicated capacity, white labelling or a service level agreement.

Add-ons on any plan: extra users at £5 per user per month and extra storage at £2 per 10GB per month. The features in each plan are as described on our website on the day you sign up. We improve the software continually and may add features to a plan at any time; we will not remove a core feature from the plan you pay for without at least 30 days' notice.

You can move between plans at any time by contacting us. A move to a higher plan takes effect straight away and the difference for the rest of the month is charged pro rata. A move to a lower plan takes effect from your next billing date, provided your users and storage fit within it.

6. Billing and Payment

Your subscription is paid monthly in advance by card through Stripe. The first payment is taken when you sign up and the subscription renews automatically on the same date each month until it is cancelled. Receipts come from Stripe by email. Your card details go directly to Stripe; we never see or store them.

We may change our prices by giving you at least 30 days' notice by email to the address on your account. A new price applies from your first billing date after the notice period, and you can cancel before then at no cost.

If a payment fails, Stripe will retry it and email you. If a payment is still outstanding 14 days after it was due we may suspend access to your instance until it is paid; your Customer Data is kept safely during a suspension. If it is still outstanding 30 days after it was due we may treat the subscription as cancelled by you, and section 12 then applies.

7. Cancelling

There is no minimum term and no exit fee. You can cancel at any time by emailing us from the address on your account or by calling us. Cancellation takes effect at the end of the month you have already paid for; we do not refund part-months, and you keep full access until then.

We can end your subscription by giving you at least 30 days' notice, or immediately if you break these terms in a way that cannot be put right, do not pay, or if the law requires it. If we ever withdraw HomeHub Office altogether, we will give at least 90 days' notice, help you export your data, and refund any period you have paid for but not received.

8. What We Commit To

We will provide the Service with reasonable skill and care, keep it available around the clock as far as we sensibly can, and fix faults promptly. Planned maintenance that needs downtime is done outside 8am to 6pm on Business Days wherever possible, with notice by email or inside the software. Because HomeHub Office runs our own business too, we notice problems quickly and have every reason to keep it running.

Support is by phone and email on Business Days between 9am and 5pm. Pro and Enterprise customers are answered first. Starter, Growth and Pro plans do not carry a formal service level agreement or service credits; an SLA is available on Enterprise terms.

As part of onboarding we will migrate your existing customer list and job history from a spreadsheet or your previous system at no extra cost, provided you have the right to move that data and can give it to us in a reasonable format. Migration is done with reasonable care, but you should check the result and keep your original copy.

HomeHub Office includes tools that estimate figures such as tax to set aside and drafts of messages to your customers. These are aids, not advice: check them before you rely on them, and take professional accounting or legal advice where it matters. Nothing the software drafts is ever sent to your customers without a person pressing send.

9. Your Data

Customer Data is yours. You keep all rights in it, and you give us permission only to store, process and back it up in order to provide the Service to you. We do not sell it, share it with other customers, use it for advertising, or use it to train artificial intelligence models.

You are responsible for the Customer Data you put in: for having the right to hold it, for the privacy information you give your own customers, for how long you keep it, and for answering any requests from the people it is about. We will help you with that where the software can (see section 10).

10. Data Processing Terms (UK GDPR)

For Customer Data you are the controller and we are your processor. This section is our written data processing agreement with you, as UK GDPR requires. It covers personal data about your customers, contacts, staff and anyone else recorded in your instance, for the duration of your subscription and the retention period in section 12.

  • Instructions. We process Customer Data only to provide, support, secure and back up the Service, in line with these terms and the way you use the software. If we think an instruction breaks data protection law, we will tell you.
  • Where it lives. Your instance runs on servers we own and operate at our premises in West Sussex, England. It is isolated from every other customer's instance, backed up every night with copies kept for 14 days, and reached only over encrypted connections. Stored passwords and secrets are encrypted, and access to the servers is limited to the people who run the Service.
  • Artificial intelligence. AI features run on hardware we own, on our premises. Customer Data is never sent to a third-party AI provider and is never used to train models.
  • Our people. Anyone we allow to access Customer Data is bound by confidentiality and only does so to provide support you have asked for, to fix a fault, or to keep the Service secure.
  • Sub-processors. We use Cloudflare to route traffic securely to your instance and manage its web address, and Stripe to take your subscription payment (Stripe does not see your Customer Data). Companies House is queried only for public company details when you sign up. We will tell you by email at least 30 days before adding a sub-processor that would handle Customer Data, and you may cancel under section 7 if you object.
  • International transfers. We do not send Customer Data outside the UK. Where a sub-processor such as Cloudflare routes traffic through servers outside the UK, the transfer is protected by safeguards approved under UK law, and we will tell you which on request.
  • Helping you. We will help you respond to requests from individuals about their data, and to meet your own security, breach and impact-assessment duties, so far as the software and our knowledge allow.
  • Breaches. If we become aware of a personal data breach affecting your Customer Data we will tell you without undue delay, and in any case within 48 hours, with what we know and what we are doing about it.
  • At the end. When your subscription ends we return or delete Customer Data as set out in section 12.
  • Showing compliance. On request we will give you the information reasonably needed to show we meet these obligations. We will also allow an audit, at your cost and on reasonable notice, if the information is not enough.

11. Acceptable Use

You must not use HomeHub Office to store or send anything unlawful, to send unsolicited marketing that breaks the law, to attempt to reach another customer's instance or our systems, to copy, reverse engineer or resell the software, or in any way that puts the Service or other customers at risk. Storage and AI features are generous but subject to fair use: if your usage is far outside the norm for your plan we will talk to you about it before acting. Where a breach is serious we may suspend access while we sort it out, giving notice where practicable.

12. When Your Subscription Ends

Your access ends at the end of the last period you have paid for. We keep your instance for a further 30 days. During that time you can ask us for a copy of your Customer Data, which we will provide free of charge in a common machine-readable format, together with your documents and PDFs, within 10 Business Days. If you need longer, ask and we will agree a period with you.

After the 30 days we delete your instance, and backup copies expire within a further 14 days. Once deleted, Customer Data cannot be recovered, so please make sure you have exported anything you need to keep for your own legal record-keeping before then.

13. Intellectual Property

We own HomeHub Office, including its code, design and documentation. For as long as you subscribe you have a non-exclusive licence to use it for your business. If you send us suggestions we may use them to improve the software without owing you anything. We will not use your name or logo in our marketing without your permission.

14. Our Liability

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to exclude.

Subject to that, we are not liable for loss of profit, business, contracts or goodwill, for indirect or consequential loss, or for loss of data beyond our obligations in sections 10 and 12. Our total liability to you in any 12-month period, whether in contract, negligence or otherwise, is limited to the subscription fees you paid us in the 12 months before the claim arose, or £100 if that is greater.

The software is a tool for running your business, not a substitute for your own records, checks or professional advisers, and we are not responsible for decisions you make on the basis of figures it estimates.

15. Changes to the Service and to These Terms

We may change these terms. For a change that materially affects you we will give at least 30 days' notice by email; continuing to use the Service after that date means you accept the change, and you can cancel before then under section 7. Changes required by law, or that only add features, may take effect sooner. The current version is always at hhssuk.co.uk/software-terms.html.

16. General

These terms, together with the plan you chose and any Enterprise agreement, are the whole agreement between us for HomeHub Office. Notices from us go to the email address on your account, so keep it up to date. Neither of us is responsible for delay caused by events outside our reasonable control. If any part of these terms is found invalid the rest still applies, and a delay in enforcing a term is not a waiver of it. You may not transfer your subscription without our written agreement; we may transfer ours to a successor business that takes on the same obligations. No one other than you and us has rights under these terms.

17. Complaints and Governing Law

If something goes wrong, tell us and we will do our best to put it right quickly: call 01403 626006 or email [email protected]. These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute.
